Privacy notice
Who we are
Site Baseline is run by Dylan Thomas, a sole trader in the United Kingdom. We are the data controller for the personal information described here. Contact us at [email protected].
What we collect and why
- Beta sign-up form. Your name, work email, organisation, role, how many screenings you do a month, and anything you write in the comments box. We use this to invite you to the beta and to understand who the tool is for. Our lawful basis is your consent, which you give by ticking the box on the form.
- Tester login. If you are invited, you sign in with your email address and a one-time code. Cloudflare provides the login service and records sign-ins for security. Our lawful basis is our legitimate interest in keeping the tool private during the beta.
- Feedback. If you send feedback from inside the tool, we store your message with your email address so we can reply and improve the tool. Our lawful basis is our legitimate interest in improving the service.
Site boundaries and search results
Many sites are confidential until a planning application is published, so the tool is built to keep them private:
- Your site boundary never leaves your computer. It is drawn, uploaded and measured inside your browser. It is not sent to us, and it is not sent to the data services.
- Searches send only a rough area. To look up designations, your browser asks each public data service for everything inside a rectangle. The rectangle is the search area around your site, enlarged and rounded to a 250 metre grid, so it does not reveal the shape or exact extent of the site. The services are Natural England, the Environment Agency, Defra, the Woodland Trust and the government's Planning Data platform. This is the same kind of request your browser makes when you look at an area on MAGIC or another public map. Like any website, these services can see your internet address.
- The background map is loaded from Esri as map tiles for the area on screen, as with any online map.
- Site names, results and exports stay with you. Tables, Word and Excel files and figures are created in your browser. We do not store sites, names or results on our servers. They are cleared when you close the page.
- Feedback contains only what you type in the feedback box. Please do not include confidential site details.
Who else processes your information
- Cloudflare hosts the website, stores sign-up and feedback records, and provides tester login.
- Google Fonts supplies the typefaces, which means your browser contacts Google's servers.
- Esri supplies the background map and aerial photography in the tool.
Some of these providers may process data outside the UK under appropriate safeguards. Where they do, they use safeguards recognised in UK law, such as the UK-US data bridge or standard contractual clauses.
How long we keep it
We keep beta sign-up details until the end of the beta and for up to 12 months afterwards, unless you ask us to delete them sooner. We keep feedback for as long as it is useful for improving the tool, and no longer than 24 months.
Your rights
You can ask to see, correct or delete your information, or withdraw your consent at any time, by emailing [email protected]. If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
The public pages do not use advertising or tracking cookies. The tester login sets a cookie that keeps you signed in. Your saved search buffers are stored in your own browser.
